Job Description

The Business Office Assistant is responsible for various support services and personnel needs to ensure that the community runs smoothly on a daily basis per company guidelines.


  • Provides accounting and administrative support

  • Assists with the preparation of assigned monthly account reconciliations and various documentation

  • Assists with accounts receivable and accounts payable functions. Processes invoices in a timely manner.

  • Assists with ensuring proper tallying of services, billing and tracking operating costs through management of staff and policies.

  • Collects on overdue accounts in a timely manner.

  • Enters data into and generates reports from the department's information systems/programs

  • Retrieves, files, organizes and archives financial records as necessary

  • Responsible for assisting with Resident Fund Management Service, Resident Trust Fund

  • Responsible for petty cash and collections

  • Serves as a back-up to the Business Office Manager

  • Census processing

  • Medicaid/Medicare

  • Insurance and private pay billing

  • Resident fund management

Job Requirements


  • Must have an Associates Degree or relevant work experience

  • 2+ years' experience as an Office Assistant preferred

  • Must be comfortable multitasking

  • Geriatric and long term care experience preferred

  • Computer and collection experience

  • Familiar with Microsoft applications (Windows, Word, Excel, etc)

  • Possess the ability to deal tactfully with personnel, residents, family memebers, government agencies and their representatives and the general public

  • Must have patience, tact, enthusiasm and a cheerful disposition
